Working Hours – Part time, 25 hours per week

Mon to Thurs 12.30 to 18.00 with 30-minute break, Friday 08.30 to 14.00 with 30-minute break (overtime available and flexibility required).

Purpose of the role

The position is to maintain Britannia House ensuring a safe and amiable working environment for all employees, tenants, visitors, and service contractors, while assisting with the administration for all facilities and health and safety components of the head office function.

Main responsibilities

  • Reception duties such as:
    • Open and close of the building
    • Providing a polite and cheerful atmosphere
    • Signing in guests, visitors, and contractors
    • Receipt of deliveries
    • Sorting of incoming and outgoing mail
    • Answering and forwarding business calls from reception
  • General Administrative tasks
  • Data collection and tracker management such as:
    • SECR/ESOS energy consumption information
    • Caterers’ due diligence information
    • Booking Contractor /service visits
    • Updating Planned Preventative Maintenance (PPM) schedule
    • Management on offsite archive storage records
    • Contractor service reports
    • Driver documents
    • Display screen equipment
    • First aid training
    • Employee car parking season tickets
    • Building access controls
    • COSHH inventory
    • Legionella/water hygiene monitoring
  • Review and updating contractor’s management system
  • Administration of planned preventative maintenance programme
  • Conducting planned maintenance checks such as:
    • Fire extinguisher checks
    • Ladder checks
    • Weekly fire alarm test
    • Boiler / CO2 alarm checks
  • Designated Fire Warden
  • Designated First Aider

Key Knowledge

You will have

  • Strong administration skills in using Microsoft packages such as Word, Excel and Outlook
  • Personable nature with strong communication skills (phone, email and in person)
  • Be able to conduct work activities without being supervised
  • Good time management to balance conflicting time demands within the role
  • Competent to complete additional training such as:
    • DSE/Workstation assessments
    • Fire Warden
    • First Aid at work
  • To work as part of a team, this role is a part time role, which means that you will need to gather information for other people within the department
