Practical Essentials

  • Budget: Make sure the venue cost fits within your allocated budget, including any extra fees.

  • Location & accessibility: Ensure the venue is easy to reach, has good transport links and offers accessible routes and facilities for those with mobility needs.

  • Availability: Check the venue is free on your preferred date and allows enough time.

  • Safety & legal requirements: Complete Single event notice form to allow us to support you in what is required from a Health and Safety perspective.

Space and Facilities

Choose a venue that supports your planned activities comfortably and safely:

  • Capacity & layout: Make sure the venue can accommodate the number of attendees and can be arranged in a way that suits the event.

  • Facilities & equipment: Check what’s included (tables, chairs, equipment, Wi‑Fi, heating, kitchen space) and whether any of it costs extra.

  • Carparking & Travel: Does it have a suitable car park for the number of attendees, easy travel links or suitable lighting if a late evening event.

Suitability for Event

Match the venue to the type of event you're running:

  • Event purpose & audience: Consider whether the space fits the style of the event you are hosting. If doing a talk, will it be quiet enough for all to hear the speaker.

  • Atmosphere & environment: If a new venue and you feel unsure, work in a visit if possible to check it is as expected.

  • Nearby amenities: Look for parking, toilets, cafés, or anything else attendees might need before or after the event.
