Type of Event

Start by deciding the type of event you’d like to organise for members.

This could be a day trip to a local attraction or place of interest, a talk from a guest speaker, or a relaxed lunch or meal at a local venue.

Consider how many people you’d like to attend and make sure the venue and activity are suitable for the expected group size.

Budget and Funding

Each group is allocated an annual budget to support the delivery of member events, with full funding guidance available in the Club Handbook. The group treasurer plans ahead for anticipated costs and requests imprests, usually on a quarterly basis. When setting your budget, include expenses such as venue hire, volunteer costs, speaker fees and a small contingency for unexpected items. Always check that your chosen venue or activity fits within your approved budget before confirming any bookings.

Choose an Appropriate Date

Picking a date that works for most people can be tricky, but a bit of planning makes it easier.

Start by checking for anything that could cause a clash: things like other Boundless events, school holidays, major public events, or transport disruptions. Make sure you also allow enough time beforehand to plan and promote the event properly.

Think about who the event is for and choose a date that suits them. For example, a family event works best at weekends or during school holidays, while a weekday might be better for an activity aimed at those who are retired.
